Events
How to create an event, fill in every field on the form, get it onto your public site, and edit, cancel or archive it later.
An event is a dated thing you publish and sell tables against — a club night, a live set, a party, a private hire. It is the heart of the Nights and Day & Night plans. A restaurant taking bookings against a date and a time publishes nothing and has no Events screen; see Restaurants and the Dining plan.
Create an event
- In the left menu, open Events.
- Click New event (top right).
- Fill in at least the Event title, the Date and the Door time. Everything else is optional.
- At the bottom, under Status, choose Save draft or Publish.
- Click the button at the bottom of the page. It says Save draft or Publish, matching what you picked.
A draft is private. Nobody outside your team can see it until you publish.
If you chose Publish, a Publish to social window opens straight after saving, so you can share it to Instagram or Facebook while it is fresh. You can click Not now and do it later.
Every field on the form
Event title — the name of the event, shown everywhere. Required.
Event type — Nightlife or Concert. Leave it on Nightlife, which is what a new event starts as. Concert is meant for seated ticketing, which is not available yet: picking it changes nothing on your public page, and guests still get the normal table-reservation form.
Hide from the marketplace — tick this to keep the event out of the cross-venue discovery pages. Left unticked, the event can appear there.
Date — the calendar day of the event. Required.
Door time — when doors open. This is also the time the event is sorted by. Required.
End time — optional. When set, your event page shows a range, like 23:00–04:00.
Genre / sound — a short line like "House · Disco". It appears as a badge on the event page and next to the date on the event card.
Lineup / performers — the names playing. Separate them with the "·" character and each name is shown as its own item in the lineup list.
Description — the longer text, shown on the event page under "About the night".
Tag — one badge for the event. Three choices:
- All — the first option. It means no tag. This is the normal setting.
- Free — see the next section.
- Full — see the next section.
Door (entry) price — a whole number in your venue's currency. The currency is the one set for your venue, and the label shows which one you are typing. Leave it empty if you have not announced a price yet: an empty price shows nothing on the site, it does not mean free.
Featured image — on the right of the form. Click the box to pick a picture from your device, hover it and click again to replace it, or use the small × in the corner to remove it. Portrait pictures look best. This one image is the event's poster on the card, on the event page and in a social post.
Free and Full, in plain words
These two are the only tags, and they do real work.
Free means "no door charge". Set the Tag to Free and the event card shows a Free badge, and the price line on the event page reads Free before midnight instead of a number. Leaving the price empty is not the same thing — an empty price is simply "not announced yet" and shows nothing at all. If entry is free, say so with the tag.
Full means the event is sold out. Set the Tag to Full and:
- the event card shows a Waitlist badge and its button changes to Waitlist,
- the event page says Reservations full,
- and new reservation requests for that event are refused, with the guest told it is sold out and asked to call you.
So use Full deliberately. It closes the door on new online bookings for that event. Take it off (set the tag back to All) to open bookings again.
Packages, free entry and tables
Below the main fields is a box for voucher tiers. You only need it if you sell packages.
Table voucher tiers — click Add table tier for each package you offer. Each row has:
- Amount — the package price, in your venue's currency.
- Tickets — how many free entry tickets that package includes. Leave it at 0 if none.
- Band (1=closest) — which ring of tables the package aims for, where 1 is closest to the stage. Leave it empty for "any table".
VIP voucher tiers — the same, for VIP tables, with no band. VIP packages are matched to VIP tables by the table's own type.
Two things to know:
- Once an event has any tiers for a booking type, a guest must pick one to book that type. If you do not want that, leave the lists empty.
- A band is a preference, not a rule. If no free table carries that band at the time, the guest still gets the nearest free table — nobody is ever blocked. If you type a band that no table is tagged with, the form warns you right there, in orange, and still lets you save.
Guest picks the table — tick this and the guest chooses their own free table on a map when booking. Left unticked, the nearest suitable free table is chosen for them when they book.
Amounts you enter here are recorded on the booking so you know what the guest bought. Taking the money online is a separate setting and depends on your venue having its own payment processor account connected.
Statuses, and what each one means for guests
A published event is the only one guests can book. The others behave like this:

| Unpublished | Nothing. It is off the site again, but kept so you can put it back. |
| Cancelled | The event page still opens, greyed out, with a Cancelled badge and "This event has been cancelled". It cannot be booked, and it never appears in the past-events archive. |
| Archived | Nothing upcoming. Once the date has passed, an archived event with a featured image appears in the Archive tab of your events page. |
On the Events list, the buttons across the top filter by All, Draft, Published, Cancelled and Archived. An unpublished event has an Unpublished badge and shows up under All.
Get an event onto your public site
- Publish it. Either pick Publish when you create it, or open the three-dots menu on its row in the Events list and choose Publish.
- It appears immediately on your events page, and under Upcoming nights on your home page.
- To check it, open the same three-dots menu and choose View on site. On the edit screen, the event's own link is printed under the title.
- About six hours after the door time, the event stops counting as upcoming. Published events are then moved to the archive for you, and those with a featured image become tiles in the Archive tab.
Edit, cancel, archive, delete
Click any row in the Events list to open it for editing, or use the three-dots menu at the end of the row.
- Edit — change any field, then click Save. Changes are live as soon as you save.
- Publish / Unpublish / Move to draft — change what the public sees, without touching the details.
- Cancel event — for an event that will not happen. Guests who look it up see it clearly marked as cancelled, so this is kinder than deleting it.
- Archive — tidies a finished event out of your working list.
- View reservations — jumps to your reservations list, already filtered to this event.
- Publish to social — opens the sharing window for Instagram and Facebook. If your venue does not have publishing turned on, or no account is connected yet, the window tells you so and offers Connect accounts.
- Delete — permanently removes the event with all of its reservations, tickets and door scans. To confirm, type the event's name (or the word DELETE) into the box; the Delete button stays locked until you do. There is no undo. Prefer Cancel event or Archive unless the event was created by mistake.
- An event that has taken money cannot be deleted. If any booking or ticket on it was paid online (or has already been refunded), Delete refuses and says so. Cancel or archive it instead, so the record of those payments stays.
The Status choice only appears when you create an event. To change status later, use the row menu on the Events list.
Find an event quickly
Use the search box above the list — it matches on title and genre. Click a heading (Event title, Date, Genre / sound, Status) to sort by it. Under each title is a small guest count for that event.
If something looks wrong
- The event is not on my site. Check its badge in the Events list. Only Published appears publicly. If it says Draft or Unpublished, use the row menu and choose Publish.
- Guests cannot book a published event. Check the Tag. If it is Full, requests are refused on purpose. Set it back to All.
- The site shows nothing where the price should be. The Door (entry) price is empty. Enter a number, or set the Tag to Free if there is no charge.
- It says Free but I charge at the door. The Tag is set to Free. Set it back to All and enter the price.
- A booking form makes guests choose a package and I did not want that. Remove the rows under Table voucher tiers and VIP voucher tiers, then save.
- An orange warning appears next to a band number. No table is tagged with that band. Bookings still work — guests get the nearest free table. Tag your tables on the floor plan if you want the band to mean something.
- The image will not upload. Only picture files are accepted, and very large files can fail. Try a smaller picture, or a different one.
- The event vanished from the upcoming list on its own. More than six hours have passed since the door time. Look in the Archived filter.
